Terms and Conditions

At Mini Ivy, we keep creativity simple. Our sessions are designed to build confidence, focus, independence, and emotional regulation through imaginative, hands-on learning.
These Terms exist to protect your child, our educators, and the smooth operation of the program.

Enrolment Fee

A $49 enrollment fee is payable when joining. This covers onboarding, setup, and access to all materials and resources.
If your family takes a break or returns later, the $49 enrolment fee is required again to reactivate your enrolment and booking priority.

Breaks, Pauses and Holding Spots

Mini Ivy does not run by school terms. We operate year-round as an ongoing weekly program.
To keep class sizes fair and consistent:
We do not hold spots. We do not freeze accounts. We do not offer breaks.
Here is exactly how it works:

1. If you end your enrolment, your spot is released

Your child’s place is immediately offered to the next family on the waitlist.

2. Rejoining is not automatic

If you wish to return, you must:

  • Pay the $49 enrolment fee again
  • Join the waitlist for your preferred day and time
  • Wait for availability

There is no guarantee your original day or time will be available again.

3. “Taking a break” counts as a cancellation

We do not pause or hold spots for any reason including school holidays, family holidays, busy seasons, or personal scheduling issues.
If payments stop, the enrolment ends and your spot is lost.

4. Make-up sessions do not carry into future enrolments

All unused make-up sessions are forfeited when an enrolment is cancelled.

5. Why this policy exists

Class sizes are capped. Sessions rely on stable groups and consistent attendance. Holding spots would limit availability for other families and disrupt the group dynamic.

No Lock-In Contracts

You stay because you love it, not because you have to.
You may cancel anytime before your next billing cycle.

Payment and Billing

Fees are billed weekly in advance through GoCardless direct debit.
Payment is required regardless of attendance. Sessions are non-refundable and non-transferable.
If three consecutive payments are missed and no communication is received, your enrolment will be cancelled.
A $30 late fee applies for overdue payments unless prior arrangements have been made.
If an account remains unpaid, it may be referred to debt collection. All associated fees will be added to your account.

Make-Up Sessions

Make-up sessions are available for missed classes, subject to availability.
Missed sessions must be used within 2 weeks.
Make-up sessions are for currently enrolled students only.
If you cancel your enrolment, all remaining make-up sessions are forfeited.
If no suitable time is available, the session is forfeited. No credits or refunds apply.

Public Holidays

Mini Ivy is closed on all public holidays.
Regular billing still applies.
A make-up session will be offered and must be used within 60 days.

Start Dates

Start dates are confirmed at enrolment and cannot be moved or changed once confirmed.

Enrolment Cancellation

You may cancel anytime before your next scheduled payment.
Once a payment is processed, that session is booked and non-refundable.

Behaviour and Safety

Mini Ivy reserves the right to suspend or remove any child whose behaviour places themselves, other children, or staff at risk. This includes repeated dysregulation, aggression, property damage, or refusal to follow safety instructions.
No refunds apply for sessions missed due to behavioural concerns.
Mini Ivy reserves the right to refuse entry at any time if a child is unsafe, too distressed to participate, or unwell.

Parent Conduct

Respect toward staff is expected at all times. Any abusive, threatening, or inappropriate behaviour may result in immediate cancellation of enrolment.

Health, Illness and Exclusion

Children must stay home if unwell. This includes fever, vomiting, diarrhoea, persistent cough, rashes, conjunctivitis, or any contagious condition.
Mini Ivy may refuse entry if a child appears unwell.
A 24-hour symptom-free period applies for minor illnesses. Contagious conditions may require a medical clearance.
Staff do not administer medication.
No refunds or credits apply for illness.

Disclosure of Additional Needs

Parents must disclose all medical conditions, allergies, behavioural diagnoses, and support needs at enrolment.
Mini Ivy is not responsible for incidents arising from undisclosed medical or behavioural information.
Failure to disclose important information may result in immediate cancellation of enrolment for safety reasons.

Food, Allergies and BYO Items

Parents are responsible for ensuring any food brought into the studio is safe for their child’s allergies.
If your child has allergies, you must provide:
• A current allergy action plan, signed by a medical professional
• All required medication (for example: EpiPen, antihistamines) labelled with your child’s name
Medication must be onsite at every session. Your child cannot attend without their required medication and action plan.
Mini Ivy is not responsible for allergic reactions caused by food brought from home or undisclosed allergies.

Emergency Procedures

In an emergency, you authorise Mini Ivy to seek medical assistance, including calling an ambulance.
We will make every effort to contact you or your nominated emergency contacts immediately.
If an ambulance is called, all fees and charges associated with the emergency response are the responsibility of the parent or guardian.

Program and Fee Adjustments

Mini Ivy may modify session times, staffing, programs, or fees if required.
Reasonable notice will be provided for changes that affect your enrolment.

Staff Authority

To maintain safety and group flow, staff decisions around behaviour management, grouping, and activity adjustments are final.
Staffing may change without notice. Sessions will always be delivered by trained Mini Ivy educators.

Development and Outcome Disclaimer

Mini Ivy provides enrichment experiences but does not guarantee specific developmental, behavioural, emotional, or academic outcomes.
Every child develops at their own pace.

Drop-Off, Pick-Up and Punctuality

Supervision begins at the session start time and ends at the session finish time.
Please drop off and collect your child on time.
A $1 per minute late fee applies from the first minute after the scheduled pick-up time.
If a child is left more than 15 minutes after the session and the parent cannot be reached, emergency procedures may be activated.
Unenrolled siblings must remain with parents at all times.

Toileting and Independence

Children must be toilet trained and able to use the bathroom independently.
Staff can assist verbally but cannot physically support toileting.

Family Holidays and Absences

Sessions missed due to holidays or personal commitments are not refundable or credited.
Make-up rules apply.

Personal Items and Clothing

Mini Ivy is a messy, hands-on art environment. Children will explore freely.
Mini Ivy is not responsible for damaged or stained clothing, footwear, drink bottles, toys, or personal belongings.

Property Damage

Parents are responsible for the cost of repairing or replacing items intentionally damaged by their child.

Parking and Safety

Parents are responsible for safe use of the carpark.
Mini Ivy is not liable for accidents, damage, or injuries caused by vehicles on or near the property.

Studio Location Changes

If required for safety or operational reasons, sessions may be relocated within a reasonable distance.
Standard enrolment policies still apply.

Online Behaviour

Harassment, defamatory reviews, or misinformation directed at Mini Ivy or its staff may result in cancellation of enrolment and further action if required.

Force Majeure

In the event of unexpected disruptions such as power outages, staffing emergencies, government directives, or extreme weather, sessions may be cancelled or modified.
No refunds apply. Make-up sessions will be offered where possible.
